There will be times when you need to complete a transaction on dotloop with another agent who does not use dotloop. Once you have created your loop, added your clients, documents, and other details, it may be time to invite the other agent to the loop. Sharing document(s) to the other agent will invite them to the loop.
Open the loop you need to invite the other agent to.
Scroll past the documents and trusted service providers to the People section of the loop.
Click on the Add Person button to add the other agent to the loop
In order to share documents to the agent, dotloop will require their name, email address and role. All other information is optional but will assist in auto-filling any documents. Click the Add Person button in the bottom right of the window to add them to the loop.
Scroll up to the documents in your loop. At this point, it may be time for you to complete filling out documents or you may already have signed documents ready to be shared with the agent. If your documents are already signed and ready to be shared, use the checkboxes to the left of the documents to select them and then click the Share button in the top right of your documents section.
In the Share Document window, under “Add People” check the box to the left of the agent’s name. By default, dotloop will have the permission View Only selected to the right of the agent’s name. View Only will allow the recipient to view the document in dotloop, as well as print or download it only. Use this permission only if you want the recipient to review the document.
Click on the drop down arrow next to the View Only permission and select Can Edit in Private. This will allow the other agent to make any necessary modifications to the document, as well as assign and share the document to their clients for signing. This permission will also allow the recipient to download or print the document.
Note: once they have finished the document, the other agent must share it back to you for you to see the changes made.
This step is optional but may be necessary if you want to send a note along with your documents.
This step is also optional. By checking the box to the left of “Attach PDF to Email” this will share the interactive versions of the document while also attaching separate PDFs to the email notification. If you check this box it may be helpful to note in the custom message (step 6) that PDF versions of the documents are attached.
The agent that you sent the documents will be able to view, print or download the documents, whether you attached a PDF or not. If the other agent is not a dotloop user then they will be able to upload the PDF version in their preferred software. When they send back the completed document it will most likely come back as a PDF attached to an email. You will then need to upload that PDF back into your loop and archive the version you sent originally to avoid having duplicates in your documents section.
