How do I add/remove agents to my brokerage?
To manage the agents (or even admins!) on your account, navigate to the PEOPLE section of your admin profile. This can be accessed via the middle icon at the top of your page. Once here, click on your brokerage on the left. This will then show you your office(s) below. To add agents, click on the office you wish to add them to and the to the right click on +ADD PERSON. Now, simply fill out the required information and they will be successfully added!

How do I upload forms to become interactive?
As a brokerage admin, you have the ability to create document orders right from your templates section! Open your docspot folder, upload the PDF's and on the top right, click the dropdown menu and select REQUEST DOCUMENTS TO BE SET UP.

How do I allow my agents to archive required documents?
Documents marked required in your brokerage templates can be toggled to allow agents to either archive these documents, or aversely, to have to make changes to the document to be allowed to archive them. This allows you to require that the agents are completing these required documents before further action can be taken on them. To toggle this off, navigate to your MY ACCOUNT section, click on PROFILES on the left, select your admin profile, and scroll to the bottom of the page. Here you will see a check box to allow all users to archive required documents.

How do I allow my agents to add additional signatures/initials to templates?
As an admin you have the ability to allow your agents to add signature and initial boxes onto your template documents, in addition to the ones that already exist on them. These documents however must be your own brokerage documents, as you cannot enable this for documents provided by adding an association to your account. To enable this option, open the document in question from your templates section of your admin profile. Under the top menu choose FILE>TEMPLATE OPTIONS. In the Template Options window, check the box that says ALLOW USERS TO ADD SIGNATURES/INITIALS.

How do I review a loop once it's been submitted for review?
To review loops submitted for review, we will navigate to the loop first, either via email or searching for the loop on your admin profile. Once within the loop there will be a red notification banner alerting you that you have documents to review. Clicking on the OPEN ALL button will open up all documents awaiting your review. While in each document you can use the toolbar at the top of the page to approve, return, or skip each document. You can also send document specific messages on this toolbar as well. When finished, click on the DONE button that will appear in your toolbar once you have reviewed the last document. You can now update the review stage, alerting the agent that you have completed the review!

How do I change who receives notifications when my agents submit to review?
Changing notifications for review stages can be done from your admin profile. Navigate to the templates section, and select WORKFLOWS from the left menu. Once selected you will select a workflow to change the notifications for. This will show you the stages of each workflow on the right. To the right of each stage there are three vertical dots which will drop down a menu. Select the NOTIFICATIONS option. Here you can select who receives email notifications for this specific stage. You will want to customize this for each stage in each workflow.

How do I use reporting in dotloop?
Utilizing the reports provided by dotloop can provide you with information for your brokerage on such subjects as total sales and loops created. To access these reports, click on the REPORTING icon, the first icon at the top right of your menu icons. This will bring you to the reporting dashboard, where you can view results and information from your entire office, or a specific agent. You can also change the time frame to 30, 60, and 90 days, as well as total year to date. Both of these options are accessible for change at the top right of the page.

Why do I see more than one loop for the same property?
As a company admin, you have not only the ability to see the loops of all of your agents, but the separate views of each person in your organization that has access to that loop. What this means is that if you say, have two agents in your office for example, who are working on the same loop, you can see both of the agent's views of that loop. These loops may appear differently for each agent, so we allow you to see both views!

Why can my agent not see their templates?
While there may be many reasons why your agent may not be seeing their templates, we will go over a few of the most common. We will want to first and foremost ensure that they are in the correct account, as well as the correct profile. If neither of these are the case, then it is suggested to check your roster and ensure that the email address that they are added to your office with is the same email address that they created their account with. If these are not the same then you can simply remove the agent from your people management section of you admin profile, and add them again with the correct email address.

I can't find a loop. Where is it?
When searching for loops, first ensure you are in the correct profile within your account. You can check this by clicking on your profile icon (the circular icon at the top right, which will contain your profile picture or initials). Here you can see which profile you have selected (which will be highlighted in black). If you are in the correct profile you can check either your ACTIVITY LOG, which is located at the top of your loops page, or you can clear your filters to show all loops. To clear your filters, click on the FILTER link at the top of your loops page, then click on CLEAR ALL, and then the FILTER button to the right of the clear all button. You can now search all loops on this profile.
