Within your brokerage or association template documents you may notice that these documents have many locked fields. These fields are typically set up to not allow further modification. As a Business or Business+ admin you have a few options for allowing your agents to add additional fields to these locked templates.
Aside from the fields on each document, you can allow agents to add strike throughs, initials, and signatures on these locked templates. Any new document that is set up via the docspot folder will have these options enabled by default, but any existing documents, or documents you have set up, you will need to enable these options.
Enabling templates as an admin
To enable the various editing options on your templates follow these simple steps. First, let's make sure we are in our admin profile.
Next, lets navigate to our templates section and locate our documents.
Now we will want to open the document we want to enable for adding additional fields. Once in the document, under the Other Actions menu, click on Template Options.
In the template options window we will see a few options. To allow strike throughs on templates simply check the square box to the left of ALLOW STRIKE THROUGH.
The next option we will want to note is the PREVENT USERS FROM CREATING THEIR OWN VERSIONS OF THIS TEMPLATE. What this does is ensures that your agents cannot modify or make changes to these templates. This option will be checked by default for any document set up via the docspot folder. note: once this option is checked it cannot be unchecked!
Lastly, once you have selected to lock the template, this will open the option ALLOW USERS TO ADD SIGNATURES/INITIALS. Checking this will allow anyone with access to these locked templates to add additional signatures and/or initials to these documents. This is useful for those who have more people signing than the form is set up for, as well as initialing off on changes and strike throughs for those areas that require it.
- Any form that already exists in your templates will need to have this option enabled.
- You can only toggle this option for documents that are subject to your brokerage account, association documents will have these options enabled or disabled by their discretion.
