Within the PEOPLE section of your business account admin profile is the People Management portion of your account. As a business administrator, with the Manage People permission, you have the ability to add and remove dotloop users, such as your agents, to your office. You also have the ability to give, remove, or edit admin permissions to these users.
On the People page, you will see three sections: TRUSTED SERVICE PROVIDERS, CONTACTS, and Your Company. Selecting your company will display the offices below the company. Selecting the office will display agents and administrators attached to that office, on the right.
For this portion of the training we will be focusing on your office's People Management, however we will go over TRUSTED SERVICE PROVIDERS in the next portion of this training course.
We've established that once you've selected your office you will see the agents already attached displayed on the right. Just above this list is a search bar, displaying an option to +ADD PERSON. note: we will want to make sure that when adding agents to the brokerage that we have the indented office level selected, never the brokerage level.
Clicking this button will prompt you to add your new agent.
Enter the appropriate information, you can add a custom message if you'd like. When you click the ADD PERSON button, an email will be generated and sent to the added individual, the body will contain your custom message, otherwise it will notify them that they have been added to the office.
Removing agents can be accomplished from the same area. To remove an agent, navigate to the agent's name first. We can utilize the search bar at the top to quickly find the agent. Once we see the agent, click on the menu icon to the right and choose the option REMOVE.
You will now be prompted to confirm you are sure you wish to remove the agent from the office. Click REMOVE to confirm.
The agent will now be removed from the office. This will remove your office's profile from their account, but you will always have access to the loops created within the profile.
Alternatively, if you wish to add multiple agents at once, we can accomplish this as well with the use of a spreadsheet. To import a list of new agents begin by selecting the office you wish to add them to in the left hand navigation menu, then from the drop down menu next to "Add Person" click import people. From the import people window you will be given the option to download our import template file or upload one when your ready.
Follow the same format seen in the example template: First name, Last name, email address and role. The role column controls what level of access the user will have. The "admin" role automatically gives the user an admin profile for your brokerage or office depending on your selection in the left hand menu, the "user" role will give them and agent account attached to your brokerage. Lastly, we will need to make sure to include a column for Brand ID. This column is where you can add your agents associated Brand ID if applicable. If not applicable, this column must still be included on the form (and can be left blank).
Once the template is successfully uploaded you will receive a confirmation message, this message includes the number of recognized users and any duplicates the system sees. Any duplicate users will not be added to your brokerage. You also have the option to send a custom message to the new users welcoming them to dotloop. Upon receiving the welcome email users will see your custom message and a link taking them to their account registration page where they will create a password and log directly into their new account attached to their brokerage.
Adding an admin is similar to adding an agent, but with a few small differences. First, we will want to insure that we have clicked on the brokerage on the left (in this example it is the DOTLOOP DASHBOARD option). Next, we will click on the +ADD PERSON selection on the top left of our agent list. Here we will fill out the users information as before, only this time we must check the box ADD AS ADMIN.
note: if your brokerage is set up to accommodate office level admins then you can follow this same guide, only adding and editing the admins within the office tab.
Once selected, this will present you with 3 options for admin permissions:
- Manage People
- Manage Templates
- Manage Loops
You can select any combination of these 3 options to give the admin the appropriate permissions.
If the individual is already added to the office, simply navigate to the three vertical dots located to the right of their name. Select MAKE ADMIN from the menu. note: here we will want to make sure we are still in the brokerage level.
You will see a banner confirming the user's new admin permission.
Alternatively, we can edit the current permissions of other admins. Navigate to the user and click on the down arrow to the right of the users name and select EDIT ADMIN RIGHTS.
We will now be presented with the ability to check or un-check the permissions for the current admin.
Lastly, You can easily identify current admins by their titles in the people list.
Removing admin privileges is as easy as clicking the down-facing arrow to the far right of the user's name, and selecting REMOVE ADMIN RIGHTS.
